"The Hatt Ltd."

Hatt Adventures, Hatt Events, Hatt Safety are all trading names of The Hatt Ltd.

"The Event"

Any activity that is run by The Hatt Ltd. and to which these Booking Terms and Conditions apply.

"The Instructor"

Any person who is authorised by The Hatt Ltd. to lead The Event.

"The Participant"

Any person who is authorised to take part on The Event.

"The Client"

Any person or company who has made a booking for The Event.

"The Agent"

Any entity that is authorised to sell vouchers or make bookings on The Hatt Ltd. Events.

Bookings (BACs / Bank Transfers)

Bookings will be reserved for 24hrs while we await your BACs / Bank Transfer. If the payment is not received your booking will be offered to another customer.

Bookings (Card)

If The Event is booked using a Credit or Debit Card you booking will not be confirmed until you receive email from us.

Bookings (Cheque Payments)

Places booked will be reserved for 3 working days while we await your cheque in the post. If the payment is not received your booking will be offered to another customer.

Agent Bookings

All Agent bookings are subject to theses ‘Terms and Conditions’. Course Information of The Event including the program outline, kit requirements and start/finish times are supplied to The Client after booking and prior to attending The Event.

Invoice Terms

Where we raise an invoice for our services, payment is due within 30 days of the invoice date. If payment is late we reserve the right to charge a daily 10% late fee.

Gift Vouchers (Hatt Adventures)

Gift Vouchers can only be redeemed against the Event stated on the voucher. Monetary vouchers can only be redeemed against 'open' Events (which have set dates available to book) and cannot be used against private or bespoke Events. Once The Voucher has been redeemed, all cancellations are subject to the ‘Cancellations by The Client’ section. If The Client wishes to redeem The Voucher against a higher priced course then the balance must be paid at the time of booking. If The Client wishes to redeem The Voucher against a lower priced course then no refund will be given.

We are able to refund gift vouchers within 48hrs of purchase, however there is a £10 administration fee. Refunds are not available on gift vouchers after the 48hr period.

Vouchers must be redeemed for an Event that runs within the Validation Period. 

Vouchers can be extended for a further 6 months from date of expiry. The fees for this are £10 for vouchers under £100 and £20 for vouchers under £200. The Client must extend their Voucher before the expiry date. Vouchers can only be extended once.

Gift Vouchers purchased via Hatt Adventures can only be redeemed against courses and experiences and cannot be redeemed against products on the Hatt Equipment online shop or in store.

Gift Vouchers (Sold by Agents)

Vouchers can only be redeemed against the activity stated on The Voucher. Once The Voucher has been redeemed, all cancellations are subject to the ‘Cancellations by The Client’ section. Once booked onto a The Event, if The Voucher is not valid for The Event you will be liable for the full cost of The Event.

Vouchers must be redeemed for an Event that runs within the Validation Period.

Cancellations by The Client

If The Client cancels their place on The Event within 30 days prior to the first day of The Event, The Event fees will be forfeit to The Hatt Ltd. If The Client cancels their place on The Event outside of 30 days prior to the first day of The Event then 50% of The Event fees will be forfeit to The Hatt Ltd.

Cancellations by The Client or The Agent with a Voucher

If The Client or The Agent cancels their place on The Event within 30 days prior to the first day of The Event, of The Event fees will be forfeit to The Hatt Ltd. If The Client or The Agent cancels their place on The Event outside of 30 days prior to the first day of The Event, The Client may re-book The Event provided The Event is attended within the expiry date stated on the voucher. Refunds are not available for vouchers.

Cancellations by The Client (Organisations / Charities / Corporates / Youth Events / etc.)

Cancellations within 30 days prior to the day of The Event: The Event fees will be forfeit to The Hatt Ltd.

Cancellations outside of 30 days prior to the day of The Event: 50% of The Event fees will be forfeit to The Hatt Ltd.

If The Client requests to reschedule The Event to a later date, (rescheduling is only possible within 6 months of the original date) The Hatt Ltd will charge an additional 25% of The Event fee or Expenses incurred (whichever is the greater). This will be payable with the remaining balance.

Cancellations by The Hatt Ltd.

The Hatt Ltd. reserves the right to cancel or alter The Event. If The Event is cancelled (through no fault of The Client) an alternative date will be offered to The Client or a full refund will be given. Please note that refunds are not available to Vouchers. If The Event cannot be pursued due to health and safety or environmental conditions on the day and no alternative can be found, no refund will be given. No liability for consequential loss is accepted by The Hatt Ltd.

Venue Access

Where The Client uses a third party venue for their event (charity abseil / film shoots etc.) The Client accepts all liability in the event of The Hatt Ltd. being refused access to the venue for whatever reason. The booking will be treated as cancelled by the client.

Participant Substitutes

The Hatt Ltd. are happy for The Participant to give their place on The Event to a friend (The Substitute). In order to make this change, we must receive written confirmation of The Substitute no later than 7 days prior to the start of the course. The Substitute’s place will not be confirmed until you have received written confirmation from The Hatt Ltd. and The Substitute must conform to the Terms and Conditions of this booking along with any prerequisites or restrictions for The Event.

Prerequisites & Restrictions

The Client is responsible for ensuring they and The Participant meet the required standards to attend the Event. If The Client or Participant fail to meet the required standards they will not be allowed to attend the Event and no refund will be given.

Lost Certificates

Where are candidate requires a replacement certificate there is a £10 administration fee, in addition to any third party fees that may be payable.

Insurance

The Client, The Agent and The Participant are all advised to insure themselves against cancellation, personal injury and loss or damage to belongings and equipment. All of The Events that are dependent on the weather or environmental conditions will only run if it is safe to do so. The Hatt Ltd. is insured with public liability cover for £5 million in respect of all of The Events.

WEATHER

For some events the weather may force us to cancel, postpone or move venues. We reserve the right to make this decision within 24hrs of The Event or in some cases on the day of The Event once we can see the conditions on the ground.

Property

The Participants are responsible for equipment loaned to them for the duration of The Event and will be liable for loss or damage to the equipment unless such loss or damage is caused through fair “wear and tear”. The Hatt Ltd. cannot be held responsible for any loss, damage or theft of The Participants’ belongings.

Equipment Hire

The Participants are responsible for equipment hired to them for the duration of the hire and will be liable for loss or damage to the equipment unless such loss or damage is caused through fair “wear and tear”. The Participant will be charged at the current market price for any equipment that is not returned in the original state it was hired at.

CLUB MEMBERSHIP

Club membership fees are non-refundable.

Discounts on shop products and open events apply after a 7 day cooling off period from the date the membership starts. All club membership benefits are subject to change prior without notice. Discounts are restricted to selected products, courses or events and may be withdrawn at any time without prior notice.

Photographs & Video Recording

The Hatt Ltd. may take photos or video recordings of The Event for use in advertising and associated media. The Participant may at the time of The Event request not to have such recordings taken. The photos and video recordings remain the property of The Hatt Ltd. and reserve the right to use these images without giving notice to The Participant or paying any royalties. We will however endeavour to ensure that The Client receives a digital copy of the images.

Accommodation & Catering

Where accommodation is needed on any of The Events, The Participants shall pay for their own accommodation and catering unless pre-arranged or advertised. Where accommodation & catering are provided The Hatt Ltd. cannot be held responsible for The Client while on these premises or for the catering.

Intoxication

Participants that arrive intoxicated or under the influence drugs will not be allowed to take part and no refunds will be given.

Fancy Dress

Fancy dress is permitted provided it will not have an impact on safety and is reasonably tasteful (as most of our venues are used by other groups or members of the public). If our instructors have any concerns about the fancy dress the Participant will need to change into something more appropriate for the activities.

Medical Conditions, Allergies or Disabilities

The Participant is responsible for ensuring they turn up fit and well to take part in The Event, for example the wearing of a limb cast would not be permitted for events such as rock climbing or kayaking, but may be possible for a navigation course. If in doubt The Participant should contact The Hatt Ltd. in advance of their Event. If however at any point during The Event,  The Instructor deems The Participant's health makes it unsafe for them to take part, may cancel or refuse participation to The Event. No refunds will be given. All cancellations are subject to these Terms and Conditions.

The Hatt Ltd. cannot accept any liability for any loss or injury caused by medical conditions that were not disclosed to The Hatt Ltd. at the time of booking, or on the medical form. Disclosure of a medical condition will not necessarily prevent The Participant from attending The Event.

Where The Participant has an underlying medical condition, professional guidance should be sought as to confirm the suitability of the activity. The Hatt Ltd. are unable to offer advice as we are not medical professionals.

Safety and Instruction

Safety is of the utmost importance; therefore The Participant must act on any requests that are made by The Instructor in the interests of health and safety.

The Instructor will terminate The Event immediately for any Participant who refuses to act on their instructions.

For all water sports, The Participant must be confident in, and around water.

“Rock climbing, abseiling, mountaineering, bushcraft, survival, kayaking, and surfing are activities with a danger of personal injury or death. Participants in these activities should be aware of and accept these risks and be responsible for their own actions and involvement.”

The Hatt Ltd. will not be responsible for any loss or injury caused to The Participant during The Event if that loss or injury is caused by The Participant's own negligence.

Accepting Risk

For more advanced courses or assessments, The Clients must accept there will be a higher degree of risk. While we work to industry standards and endeavour to minimise these risks some activities by their very nature cannot be controlled.

For example, a Client wishing to learn to Lead Climb must accept the fact that taking a 'lead fall' can result in serious injury and/or death.

All Clients and Participants must accept these risks to take part.

Zero Tolerance Policy

All Clients and Participants are expected to communicate respectfully at all times. Disagreements or concerns should be expressed in a constructive and courteous manner. Any Client or Participant found using abusive language or actions towards The Instructor or Staff will face appropriate consequences, which may include the following: 

  • Verbal or written warning.
  • Temporary suspension from The Hatt Ltd.
  • Permanent explusion or terminaton from The Hatt Ltd.
  • Legal action if the abuse constitutes harrassment or violates any laws.
